Stay on Top of Your Form Performance with the Weekly Report Email
For busy form owners, keeping track of every form’s performance can be a challenge. That’s why 123FormBuilder sends you a Weekly Report email by default – a handy summary of how your forms did over the past week. Each Weekly Report provides a quick snapshot of your form activity, delivered right to your inbox so you never miss an important update.
In this article, we’ll explain the value of the Weekly Report and how it helps you stay informed, optimize your form strategy, and identify trends. You’ll learn what information the report includes (like your top 3 forms of the week), who receives it, and how it can guide your decisions. We’ll also show you how to opt out of these emails if you choose. Let’s dive in!
What’s in the Weekly Report?
The Weekly Report is an automated email summary of your forms’ performance over the previous week. It arrives in your inbox once a week (by default) and highlights key usage stats for your account. Most notably, the report showcases your top three forms of the week based on views. In other words, it ranks the three forms that received the most views in that week.
- Form Views – How many times the form was loaded or seen
- Submissions – How many people completed and submitted the form
- Submission Rate – The percentage of people who submitted the form out of those who viewed it
Here’s an example of what your report looks like:

This isn’t just a bunch of numbers—it’s a visual, ranked view of what’s working best with your audience. You’ll instantly know which forms are getting attention and which ones could use a boost.
For example, if you have multiple forms (say a Contact Us form, a Survey, and a Registration form), the Weekly Report will call out which three forms attracted the most visitor traffic in the last week, and it will list how many views each of those top forms received. This way, immediately, you know which forms are getting the most attention from your audience. It’s a convenient way to see what’s hot without having to log in and check analytics for each form.
(Note: “Views” represent the number of times your form was loaded or viewed by visitors. The Weekly Report focuses on views as a simple indicator of engagement. Keep in mind this counts all form views, not necessarily unique visitors.)
Why the Weekly Report Is Useful
The Weekly Report email isn’t just a bunch of numbers – it’s a tool to help you understand and improve your forms. Here are some of the key benefits:
- Quick performance snapshot: The Weekly Report gives you an overview of your forms’ performance without needing to manually run reports. Briefly, you see the most important stats in one email. This saves you time and keeps you informed effortlessly.
- Identify your top performers: By highlighting the top 3 forms by views, the report instantly shows you which forms are drawing the most attention. This validates which of your forms (and the campaigns or pages promoting them) are most effective. You’ll know right away which forms are your stars for the week.
- Spot trends and patterns: Week over week, you may notice certain forms consistently rank in the top three or see a new form break into the list. These patterns can reveal trends in your audience’s behavior. For instance, a seasonal event form might climb in views as its event date approaches, or a new survey might suddenly gain popularity. Regular summaries like this support better decision-making by offering a snapshot of ongoing activities, helping you identify what’s working and what might need improvement.
- Optimize your form strategy: With these insights, you can take action to improve your forms. For example, if an important form isn’t making the top three, consider promoting it more or tweaking its design to increase engagement. Conversely, if one form is consistently number one, analyze what makes it so popular – perhaps it’s the topic, the form design, or where it’s embedded on your site. You can then apply those successful elements to your other forms.
- Stay informed without the hassle: The Weekly Report is delivered automatically, so you don’t have to remember to check your stats. This ensures you stay informed about your forms by default, even during busy weeks when you might not log into the 123FormBuilder platform.
By leveraging these benefits, you can make data-driven decisions to get better results from your forms. The Weekly Report essentially acts as your form analytics assistant, keeping an eye on things and reporting back to you regularly.

Who Receives the Weekly Report?
You might be wondering, “Will I get these weekly emails?” The Weekly Report is enabled by default for users who meet certain criteria. We only send it out when it’s relevant and useful. Here’s who will receive the Weekly Report email:
- Main account owners: The report is sent to the primary email address on the 123FormBuilder account. If you have sub-users (team members or collaborators under your account), they will not receive their own weekly report.
- Active users with form activity: To get a Weekly Report, your forms should have a minimum level of traffic. Specifically, your account needs to have recorded at least 15 form views in the previous week. If your forms had very low activity (fewer than 15 total views across all forms last week), we’ll pause the report for that week. This way, you won’t get an empty or irrelevant report. As soon as you cross the threshold (15+ views in a week), the report will be sent the following week, summarizing that activity.
- Accounts older than 7 days: New to 123FormBuilder? Welcome aboard! 😃 Please note that we start sending the Weekly Report only after your first week. Users must be registered for more than 7 days to begin receiving the report. This gives you a chance to create some forms and gather data in your first week. After that, if you meet the activity criteria, your weekly emails will start rolling in. (If you just signed up yesterday, you won’t get a report at the end of your first week since there’s not a full week’s data yet.)
In summary, the Weekly Report goes out to active, engaged users – those who have been with us for over a week and are getting form views. If you fall into that group, you’ll automatically get these insightful emails without having to do anything. If you don’t receive a Weekly Report, it could be because your account is brand new or your forms didn’t have 15+ views in the last week.
How to Opt Out of Weekly Reports
We designed the Weekly Report to be a helpful resource, but we understand that not everyone wants automatic emails. If you prefer not to receive the Weekly Report email, you can easily opt out. Just follow these steps to turn it off in your account settings:
- Log in to your 123FormBuilder account and go to the Account information page. This is usually found by clicking on your profile name or avatar in the top right menu and selecting “Account details”.
- Click on Change account details and look for the setting labeled “Weekly Report”(It is under email preferences).
- Toggle the Weekly Report setting to “No”.
- Save your changes.
That’s it! Once you set Weekly Report to “No”, we will stop sending you the weekly summary email. You can always re-enable it later by setting the Weekly Report option back to “Yes” if you miss those updates.
Friendly note: We hope you’ll find the Weekly Report valuable and consider keeping it on to help you stay informed about your forms. Many users tell us it’s a quick and useful recap of their week. But the choice is yours – you’re in control of your email preferences.
Stay informed, save time, and make the most of your forms with the Weekly Report!
