How to limit the number of times an option is selected in your 123FormBuilder form?

If you want choice field options to accept a limited number of selections, you can enable this feature from the Form Editor of your form within your form builder account. Once an option is unavailable, it will be grayed out on the form.

1. Click on the choice field to open its Edit Field panel on the left side of the page, then scroll down until you get to the Options section.

2. Once there, click on the Limit choices option. Afterward, you can Configure the values for each choice individually and add your preferred limits (or you can set a default total for all your choices).

If the limit for a choice has been reached, that option is automatically grayed out and cannot be selected anymore by form users. To make the choice grayed out from the beginning, simply type -1 as the Total value.

You also have the option to Reset every day. Don’t worry, enabling this option will not delete your previous submissions. You can still find them in the forms Submissions section.

Select the Show no. of choices left option. Form users will then be able to see the remaining available options for each choice.

  1. We have values configured with limited choices but we are selling more than what we’ve allocated in the inventory. Why is this happening? For example, I had (9) allocations for one item but have sold 11 of them before the option was greyed out. Please help!

      If you read the second paragraph from the documentation above, you will see that you can limit each available choice of a choice field with custom values. In your case, you could display the four sittings as four available choices. Let’s say you add a Radio field on the form with four available choices. Choice 1 is Sitting 1, Choice 2 is Sitting 2 and so on. Once you have created the field and added your available choice, go to AdvancedNumber of times an option can be chosen and select Custom. Afterwards you can limit each sitting as you see fit.

  3. Is “how many times an option can be used” per user or total. For example we only have 10 total of a specific item available. Will it keep the inventory control for 10 total across all users? Or will each user be able to choose up to 10?

      The option limits the number of times an option can be used by each user individually, not per form. In your case, each user will be able to choose up to 10 items. You could, however, add a Number field on your form for the quantity of the item and use the Limit submissions by input values option. This way, you can set a limit per total.

        If you want the options to be chosen for an unlimited number of times, simply select the option Unlimited in the Number of times an option can be chosen dropdown.

  4. Hi

    Base on the template for order form, say for example I want to order 2 Madonna, 3 Rihanna and 4 Beyonce, how do I do that? Because there is only 1 box for quantity.

Is this service free?

How can I publish my forms?
You can publish your forms in many ways, by using their direct URL or HTML link, embedding them with a JavaScript code, Inline HTML or iFrame, using the Facebook app or the WordPress plugin, using popups, the Blogger code snippet and many more. Once you have created and customized your form, go to the Publish section to complete your work. Read more in our documentation.
How do I change my form design?
You can change the design of your form in the Themes section, which is located in your form settings. We offer a set of more than 30 predefined form themes for your forms, but you can also create your own from scratch. You can customize the submit button, the logo and more. To apply your own stylesheets, all forms come with a custom CSS editor.
